Dear Parents/Carers,

 

We are writing to inform you of changes to our booking policy that we are introducing from September 2017.

 

After School Clubs

Up to this point we have been very flexible regarding parents making ad-hoc bookings and last minute changes to their childcare arrangements with us. Due to the level of last-minute changes being made, this is having a detrimental effect on our ability to ensure sufficient staffing ratios.

We therefore need to take a stricter approach to our policy of requiring parents to ensure places are booked and paid for at least two weeks in advance. Any amendments made within a two week timeframe will be non-refundable. Where possible, we will accommodate any requests for additional days required, however this is subject to places being available.

To ensure we have the correct staffing levels to escort children from each of our linked schools, we have capped numbers of places available from each school on a daily basis. Please note that this means that those parents that fail to book or pay in advance may not be guaranteed a space. Therefore we would encourage parents to confirm their bookings early and pay one half-term in advance to avoid disappointment.

 

Holiday Playschemes

Additionally, we have had challenges ensuring adequate staffing during school holidays due to parents making bookings at the last minute. In order for us to ensure that have enough staff, we need to know the numbers of children attending well in advance, so we can book staff in before they become unavailable.

For this reason, we require parents to make playscheme bookings and pay for their space two weeks prior to the start of the holidays. Any late bookings made after this point will be subject to a surcharge of 20%. In order to encourage parents to book in advance, a discount of 10% will be available to all parents that book three weeks in advance.

As above, any amendments made within a two week timeframe will be non-refundable. Where possible, we will accommodate any requests for additional days required, however this is subject to places being available.

 

Exceptions

We understand that for some parents advance booking and payment may not be possible due to shift-work and financial constraints, so we are ring-fencing a limited number of places for these families so that they can continue to access the service. Please speak to the manager of the service your child attends for more information.
